Position
About the role
EyeSee is looking for an Office Manager to be a strong supportive force behind people and processes. The main responsibilities will include tasks such as managing the office space and supplies, handling administrative tasks including IT administration, coordinating events and business travels, and serving as the primary point of contact for colleagues and visitors. The ideal person for the job is a pragmatical problem solver with excellent organizational and communication skills, and great attention to detail. They will have previous experience working in an office environment, performing administrative tasks, and providing support to coworkers.
Responsibilities
- Handling internal and external communication including phone, email, mail, and other communication channels for EyeSee offices globally
- Welcoming visitors to Belgrade office
- Managing and maintaining the office space, and arranging necessary repairs
- Organizing procurement and maintaining inventory and supply stock
- Collaborating, communicating, and negotiating with external parties (suppliers, government institutions)
- Business travel management (visa application, booking accommodation, transportation, insurance etc.)
- Organizing internal and external events (booking, and coordinating internal - team building activities, Christmas parties, workshops, etc. & external-conferences event schedule; communication with organizers/event providers; organizing event material production, shipping, storage, and setup; coordinating payments)
- Supporting the Finance and Legal Department (managing office budget, filling in receipts and other documents, collecting and scanning invoices)
- IT Administration (keeping track of EyeSee IT equipment globally, coordinating repair/replacement of the equipment, ensuring that all forms related to IT administration are completed, scanned and archived)
- Health&Safety and Fire Protection (communicating with external partners responsible for compliance with H&S and Fire Protection regulations, organizing mandatory trainings for employees, ensuring that H&S and Fire Protection policies and other documents are up to date)
- Implementing and maintaining procedures in their area of work
Requirements
An ideal candidate would have
- 3+ years of experience in a similar position
- Excellent spoken and written English skills (at least C1 level)
- Strong MS Office skills
- Strong verbal and written communication skills
- Strong organizational and time-management skills
- Attention to detail, ability to multitask and be flexible enough to evolve in a rapidly changing environment
- Ability to handle information with confidentiality

- Due to the nature of the job, it is expected that you will primarily work from the office. However, after successfully completing the onboarding process and in agreement with the manager, remote work will be possible several times a month.
