Job Summary:

The Financial & Administrative Assistant will play a key role in supporting the CFO through managing financial records, ensuring compliance, and handling essential administrative functions. This position requires a detail-oriented, proactive professional capable of balancing diverse tasks efficiently and accurately.

Key Responsibilities

Financial & Compliance Support:

  • Accounts Payable and Receivable
    • Process incoming & outgoing invoices.
    • Assist in reconciling accounts and ensuring accurate financial records.
    • Process payments and manage transfers across multiple bank accounts.
  • Bookkeeping and Financial Documentation
    • Record and manage financial transactions using accounting software.
    • Organize and maintain financial documents such as receipts and invoices.
    • Support quarterly and annual financial closings.
  • Budget Monitoring & Financial Reporting
    • Track and manage team budgets, flagging any discrepancies.
    • Oversee daily operations of multiple bank accounts across institutions, ensuring accurate balance monitoring.
    • Reconcile accounts regularly to maintain accuracy and resolve discrepancies.
  • Compliance and KYC
    • Handle Know Your Customer (KYC) and compliance documentation in accordance with regulatory requirements.
    • Ensure consistency of investor information across compliance tools and reporting documents.
    • Assist with required legal, fiscal and other regulatory filings.
    • Collect, organize, and track Environmental, Social, and Governance (ESG) data in alignment with corporate policies and standards; prepare comprehensive ESG reports for stakeholders, highlighting key sustainability metrics and performance indicators.

Administrative Support:

  • Back-Office Support
    • Schedule meetings, coordinate travel arrangements, and support onboarding processes for new team members.
    • Arrange meetings and events at various venues, coordinating logistics as needed.
  • Document and Records Management
    • Maintain organized electronic and paper filing systems.
    • Update and manage the contact database, ensuring data accuracy.
  • Communication & Coordination
    • Serve as a point of contact for financial and administrative queries.
    • Coordinate and support internal and external audit processes as needed.

Required Qualifications

Education:

  • Bachelor’s degree in Finance, Accounting, Business Administration, or related field.

Experience:

  • Minimum of 3 years in financial, accounting or financial administrative support.
  • Proficiency in MS Office, with advanced Excel skills.
  • Familiarity with basic accounting principles and financial reporting.

  • Language Skills: Proficient in Dutch and English, with basic French skills, enabling effective communication in diverse environments.
  • Analytical Skills: Strong attention to detail with the ability to analyze and interpret financial information accurately.
  • Organizational Skills: Effective time management and prioritization skills.
  • Communication Skills: Excellent verbal and written communication abilities.
  • Confidentiality: Demonstrates discretion in handling sensitive financial and personal data.
  • Problem Solving: Skilled in identifying and resolving issues proactively.
  • Collaboration: A team player who supports and contributes to team goals.
  • Attention to Detail: Ensures accuracy and precision in all tasks.
  • Technical Proficiency: Skilled in using various software tools with the ability to quickly adapt to new platforms.
